Terms & Conditions

Bookings:


All bookings for PESH camps are facilitated through a third-party platform, Pebble. By making a booking for our camps you acknowledge and agree that your booking and any associated transactions may be processed through the Pebble platform and that you will be required to create an account to complete your booking where applicable. PESH is not responsible for the functionality, terms, and conditions, or privacy practices, of the platform. Please refer to Pebble’s policies and terms of service for information related to your booking and the use of the platform. If you have any inquiries or encounter issues during the booking process via Pebble, please contact us directly and we can support or connect you with Pebble for further support. All bookings for camps and after school clubs must be made in advance. By booking a place for your child on any camp or after school club with PESH, you accept the terms and conditions. Once bookings are made, and paid for in full, you will receive an email confirmation of your child’s place. All bookings are subject to these Terms and Conditions. For safety reasons, only bookings made in advance guarantee a place on any camp or after school club. Those arriving on the day will not be guaranteed a place on that camp or after school club. Before making a booking, please ensure your child meets the conditions of the camp or after school you are booking on. All bookings are subject to the right to cancel, in writing, (by email to us at info@peandsportshub.co.uk) within 14 calendar days from the date you book. Outside of the 14 day period, all bookings confirmed are final and nonrefundable. Any ‘no shows’ on the day will NOT be guaranteed a refund.

Accounts and Passwords:


Please keep your account name and password save and confidential. Notify us immediately of any unauthorised use of your account, any details of your account can only be discussed with the account holder.

Camp or after school club changes:


If PESH needs to cancel a camp or after school club for any reason, a full refund or credit will be given to the person who booked the child onto the programme.

Child Protection:


All PESH staff hold current safeguarding and DBS certification. If a child makes a disclosure, or a member of staff believes that the child is suffering from abuse, we will act in accordance with our safeguarding policy, a copy of which is available on request to PESH by emailing info@peandsportshub.co.uk

Complaints:


If you have any queries about our provision, in the first instance please speak with the coach(es) at the camp or after school club. If you wish to raise the matter further, please contact the main office info@peandsportshub.co.uk We will endeavour to respond within five working days after receiving the email.

Early drop offs and late pick ups on Holiday Camps:


On some of our holiday camps, we offer a paid facility for earlier drop offs and later pick-ups. If you drop your child off ten minutes earlier than their designated start time, or pick up ten minutes after the scheduled pick-up time, you will be charged accordingly.

Film and Photography:


PESH may from time to time we will photograph/film the PESH activities, the use of this data is solely for the purpose of promoting and publishing PESH activities through our literature, website and social media platforms (Facebook, X & Instagram). Parents/guardians that do not wish for their child to be photographed or filmed, must make PESH aware of this at the time of booking. If you change your mind, you can ask for a photo to be removed at anytime by contacting PESH at info@peandsportshub.co.uk PESH will hold all personal data in accordance with its privacy policy, which can be requested at any time by emailing info@peandsportshub.co.uk

Health and Safety:


A full risk assessment is carried out before any camp or after school club takes place at a new venue. PESH staff hold a paediatric first aid certificate. By booking onto a camp or after school club with PESH, you are providing consent for PESH staff to administer any, and all necessary first aid to your child, as required at any time. We advise all parents/guardians to apply suncream, when necessary, to their child, before a session commences, or if a parent wants to provide suncream and wants to sign a consent form for their child, they may apply it themselves throughout the day. PESH encourage all children to bring a healthy snack and/or lunch to camps and after school clubs along with a refillable water bottle. PESH have a no nut policy. No nuts are allowed to be brought to any PESH camps, in the case of a child having a serious food intolerance, we may ask parents about their child’s lunch/snacks on arrival or inspect lunch boxes when children arrive on camp.

Behaviour:


At PESH activities we expect all children to respect each other, the facility and the staff. In our activities we employ a 3 strikes policy when dealing with inappropriate behaviour. This includes where a Participant does not comply with the safety rules and advice, does not act responsibly and courteously, is disruptive, does not participate, behaves in a way we deem to be inappropriate in the circumstances, or fails to respect or affects the enjoyment of the camp for other Participants. We deliver our behaviour strategy through providing a chance, choice and consequence (the consequence being the potential cancellation of the booking) for any behaviour that does not respect other participants, staff or the facility.

Inclusivity:


PESH value the importance of being inclusive on all holiday camps and after school clubs. If your child receives one-to-one support at school, please contact the office at info@peandsportshub.co.uk to discuss the matter further, before booking online, so we can assess whether we can accommodate the child.

Leaving an activity:


All children must be collected by a parent or guardian from any of our clubs or camps. This person will be highlighted on the registration form as the person who is collecting the child. A child will only be allowed to walk home if written person is given on the booking form through our website. If arrangements are made for a child to be collected by a different person, they will be required to use the password given on the PESH booking form. Please inform PESH at the earliest opportunity if your child is being collected by a different person.

Liability:


PESH has liability insurance cover provided by Hiscox.

Medical conditions:


In the unlikely event that any Participant requires medical attention while on a camp, including any Residential camp, we will provide first aid on site and make every attempt to contact you. You acknowledge and consent to our taking the Participant offsite to obtain medical attention when we deem this is required, if necessary without your consent, in an emergency. PESH need to know about any medical information for any children on a camp or after school club. If there is a care plan in place, we require full disclosure at the time the child is booked on. This must be made in writing on the booking form. If any child requires any oral medication, please contact info@peandsportshub.co.uk for further assistance whether this will be possible to administer and store the medication.

Sibling discount:


Discounts are applied when booking more than one child onto the same sports camp. Please note, you will receive one or the other, not both. First sibling 0% discount, additional siblings receive 10% discount on the total cost. Any promotional discounts will not apply on top of this discount.

Ofsted Registration:


We are registered with Ofsted on the Voluntary Childcare Register as an out-ofschool childcare provider. This means we meet Ofsted’s requirements for registered childcare and are committed to providing a safe, welcoming and well-run setting for children.

Payments: PESH accept credit/debit cards through the pebble booking system via the website. Any credits applied to your account can be used via the payment method on the active booking system on the website.

Childcare Vouchers & Tax-Free Childcare:


We accept payment through the Government’s Tax-Free Childcare scheme and, where applicable, approved childcare voucher schemes (only for sports camps during the holidays and not for after school clubs). Parents and carers are responsible for: Ensuring their Tax-Free Childcare or voucher account is active and up to date Setting up payments in good time so fees are received by the due date Making sure our setting is correctly selected as the childcare provider If a Tax-Free Childcare or voucher payment is delayed, rejected, or does not cover the full amount due, any outstanding balance must be paid using an alternative payment method. PESH Camp:


If you require to cancel a booking, you can cancel 14 calendar days before the session you wish to cancel starts, you will receive a refund minus a £5 administration fee. If you cancel, giving less than 14 calendar days’ notice, you will receive a 50% refund or an option to change the date of the booking.

PESH After School Clubs:


Any cancellation of a booking will incur a £5 administration fee plus any sessions attended. No refund will be given after the first week of a club has been completed.

Personal property:


PESH cannot be held responsible for any loss or damage to any personal belongings whilst attending a PESH camp or after school club.

Promotions and Vouchers:


From time to time, we may provide offer promotions and vouchers. If you have been issued a promotional code or voucher, this must be redeemed and used in accordance with the terms and conditions of the voucher and these Terms and Conditions. Promotional codes can be entered on the website at the time of booking. Please note, promotional discounts and vouchers cannot be used in conjunction with any multi-buy or sibling discount.

Website:


We will endeavour to have our website available at all times. We use all reasonable care to make sure our website is error-free and virus free, but we cannot guarantee this at all times. PESH accepts no responsibility for our website being down or any viruses that it may contain. You must not attempt to corrupt our website, by hacking into, tamper with, circumvent security or in any way disrupt any of our computer system used by PESH.
